The conference will be held at the Erwin Schrödinger International Institute for Mathematical Physics (ESI), Vienna, Austria which is located close to the Faculties of Physics and Mathematics of the University of Vienna.
It was founded and is organized on the following principles: the creation of an international institute of the highest scientific quality encouraging a cross fertilization of mathematics and physics through creative interactions of leading scientists from both disciplines.
Through its geographical location in the centre of Europe the Institute also aims to stimulate intellectual exchange between scientists from Eastern Europe and the rest of the world.

Invited speakers will be accommodated at ARCOTEL Boltzmann Vienna.
It is 2 minutes walk from the ESI.

Participants are expected to book their own accommodation. We recommend that participants stay at ARCOTEL Boltzmann Vienna.

Special rates have been negotiated with this hotel and can be availed of if booked through the ESI.

Meals
Breakfast, Lunch and Dinner will not be provided as a part of the conference package - participants will have a free lunch hour and dinner time. 
Exceptionally, a Conference Dinner will be provided on one day (date to be confirmed).

By Air
Vienna International Airport
is approx. 15 km from Vienna Centre.
Taxis from the airport to Vienna are expensive, unless preordered, e.g., from C&K Airportservice or Airportexpress (around € 30).

Milan Rastislav Štefánik Airport is approx. 60 km from Vienna.

Tips for using Public Transport in Vienna:

Public transport is convenient and safe. Trams and underground trains generally run until about midnight: first and last trains are listed at each stop. There are also night buses on some routes, but they follow different rules.

- Inside each bus, underground or tram carriage there is a list of all the stops on that line.
- Free subway maps are available at information offices.
- Ticket vending machines take € 10 bills but it is advisable to have some small change with you. 'Zone 1' covers all of Vienna; the other zones apply to lines to nearby towns, or to Vienna Airport. In particular, if you buy a single ticket (= Einzelfahrkarte) at a vending machine you should press yellow button no. 1 under the 'Einzelfahrkarte' table for adults.

Single tickets are € 1.80 (€ 2.20 inside a tram or bus). Each single ticket allows travel for one person on a single journey in one direction, and allows any number of transfers between buses, trams and underground trains.
The ticket should be stamped once at the beginning of the journey at a blue `Entwerter' machine found at the entrance to underground stations and in buses or trams.
You can also buy an 8-day strip ticket for € 28.80 for a total of 8 (not necessarily consecutive) days of travel (at a vending machine press the green button `U' to obtain such a ticket). One of the eight strips has to be stamped at an Entwerter for each day used, at the beginning of the first journey of that day. After that you just have to carry the ticket with you. These tickets can also be used for several persons travelling together, provided that one field is stamped for each person once for each day,
Weekly tickets are available for € 14, valid from Monday to Sunday.
These are available from ticket offices and tobacconists. These tickets are transferable, but if several people travel together, you must be able to produce all tickets!


Conference Facilities

Conference room
The conference room is located in the ESI. The address is Boltzmanngasse 9. Inside the building, go up two floors, turn to the right and you are standing in front of the ESI. The secretariat is the third door to the right.

Speakers and participants making an oral presentation (invited lecture and/or short talk) are kindly requested to bring their own laptop or their presentation on a memory stick. 

An Apple Notebook will be available for presentations.

WLAN is available throughout the ESI - passwords will be distributed by the Secretariat

Short talks
There will be no short talks other than those listed on the final programme. The list of abstracts accepted for poster presentation is available on the conference website.  

Posters
Posters can be fixed with self-adhesive tape or blu-tack. Recommended poster size is A0 vertical. Use letters and drawings that can be read from approximately 100 cm distance.

Arrival, On-Site Registration & Conference Secretariat

On the first full day of the conference participants should register with the ESF Conference Officer, sign the attendance list and collect their name badges.

The conference officer will be present for the first part of the conference (until Wednesday lunchtime), taking care of the administrative aspects and the day-to-day running of the conference: registration, issuing certificates and receipts, collection of travel tickets, etc.

Registration and Payment

Please confirm your attendance by filling in an online registration form accessible from the conference website.  

Conference fees must be paid by credit card (Visa, Mastercard and Eurocard) via the online registration form by the registration deadline. A 150 EUR supplement is added if full payment has not been received by the registration deadline.

Payments by bank transfer are accepted only in exceptional circumstances and will be subject to a 10 EUR supplement. Contact the Conference Officer for details.

Payments by cash and cheque are not accepted.

Cancellation and Refunds

Should you need to cancel your participation, please contact the Conference Officer immediately. If notice of cancellation is received more than two weeks before the conference, all but EUR 100 will be reimbursed. No refund is possible if notice of cancellation is received less than two weeks before the conference.

Extra Expenses

Any expenses not covered by the conference fee (additional nights, beverages, telephone calls, etc.) must be paid directly to the conference Hotel during your stay.

Accompanying guests are not entitled to take part in any of the actual conference activities (attend talks in the conference room, coffee breaks, etc.). Conference facilities, such as access to the internet, are destined for the sole use of conferees.

Travel Contributions

All reimbursements will be made by post-conference bank transfers. If you have been granted a travel contribution, please provide your bank account details – including IBAN and BIC/SWIFT numbers – in the online registration form.

Photocopies of travel tickets must be returned to the ESF Research Conferences Unit within a maximum of one month after the conference. No reimbursement can otherwise be guaranteed.  

Itinerary, price and currency must clearly feature on any ticket. Where no price is indicated on the ticket, the corresponding invoice must be enclosed.

Travel costs may not be higher than:

  • cheapest economy class air fare
  • OR second class train fare
  • OR bus fare from the participant’s place of work to the place of the event or may be the actual cost of travel, whichever is the lower.  

The following may NOT be considered as allowable travel costs and therefore may NOT be presented when claiming the travel contribution:

  • taxi fares (in exceptional cases, taxi fares may be reimbursed)
  • local travel in the city or locality of the event
  • costs of health, life and luggage insurance.  

Use of a private/rented car is covered either on the basis of a 2nd class return train fare documented by a certified travel agent, or on actual mileage according to the ESF coefficient applicable at the time of travel.

It is therefore the responsibility of participants to check their health insurance requirements.
