Call for Science Meetings

The MeMoVolc Steering Committee will consider proposals for workshops (10-50 participants), conferences (>50) and schools (30-150 participants) on topics within the scope of the RNP and with a European or international dimension.

Applicants should be established scientists/researchers based in a country in which the ESF has a Member Organisation (MO) or from any other country in which a contributing organisation is based.

Meetings should normally take place in countries that financially support the RNP. Exceptional cases must be justified and approved by ESF.

Priority should be given to participants from countries which financially support the RNP, followed by participants from other, non contributing, ESF MO countries. The involvement of young scientists is strongly encouraged. Organisers are asked to ensure balanced geographical and gender representation amongst the participants.

Submission procedure

Applications should be submitted online at least three months before the planned starting date of the event.

The proposal should include the following information:

  • Scientific summary (max. 1000 words) and abstract (max. 50-70 words)
  • Provisional Meeting programme
  • Curriculum vitae of Scientific Organiser including list of five most relevant publications within the five past years
  • Provisional list of proposed speakers/participants
  • Estimated budget (directly on the online form), indicating the breakdown for travel, accommodation, meals and any other expenses

Funding

The amount of funding awarded for a meeting will be decided by the Steering Committee based on aims of the MeMoVolc programme and its budget. Funding is primarily aimed at covering travel and accommodation of participants, who are expected not to pay registration fees. The workshop should be non-profit making and local administrative costs should be kept at a minimum (not more than 10% of ESF funding). Organisers are encouraged to seek additional funding, provided additional sponsors comply with ESF guidelines and regulations.
Priority should be given to participants from countries that financially support the MeMoVolc programme, but the organisers should also ensure a balanced geographical representation among the participants. Only up to 10% of ESF funding can be used for speakers from non-ESF member countries.

Reporting procedure

A final report must be submitted online by the organiser within two months of the event. The report should include:

  • A scientific report
  • A financial report
  • A list of participants

The scientific report will be evaluated by the MeMoVolc Steering Committee and the financial report validated by ESF.
